Sharing and iCloud Collaboration
Hour by Hour can share schedules as images, PDFs, or plain text. This is often the easiest way to send a plan to friends or colleagues who aren't using the app.
Sharing a copy of a schedule
To share a copy of a schedule, tap the icon at the top of a schedule, then choose:
- Share as Image — best for quickly sending a nice visual copy in Messages, WhatsApp, Slack, or email.
- Share as PDF — best when you want a printable or more formal version.
- Share as Text — best for copying into notes, emails, documents, or other apps.
These sharing options don't require the recipient to have Hour by Hour installed, and they don't let anyone edit your schedule.
Collaborating with other Hour by Hour users
Hour by Hour also integrates with iCloud to synchronise your schedules across any devices where you have the app installed.
To collaborate on a schedule with other Hour by Hour users, tap the icon at the top, then
Start Sharing. This creates an iCloud link you can send to anyone.
Be careful who you collaborate with. Anyone with the link can change anything in the schedule.
What is shared when you collaborate?
- The scheduled date — which date the schedule becomes active. See active schedules for details.
- Which events are checked off — everyone can see and update these together.
- Calendar events from the original creator. The schedule always uses the creator's calendar; it doesn't pull in the calendars of people who join the share.
What is NOT shared when you collaborate?
- Notification and live activity settings — each person can turn these on or off for themselves.
